Regulation
participation in events organized by the TOR Business Advisory Team, a limited liability company with its registered office in Warsaw
(hereinafter referred to as the “Terms and Conditions”)
1. These Regulations determine the rules of participation in events organized by TOR Business Advisors Team limited liability company with its registered office in Warsaw, entered in the register of entrepreneurs of the National Court Register maintained by the District Court for the City of Warsaw in Warsaw, XII Commercial Division of the National Court Register, under the number KRS: 0000133090 (hereinafter referred to as:”ZDG TRACK” or”Organiser”).
2. The events organized by ZDG TOR include: seminars, congresses, conferences, trainings, events, workshops, online trainings, online conferences (hereinafter referred to as:”Events”).
3. The Events may be attended by natural persons, including natural persons conducting business activities, employees, collaborators, partners, members of the bodies of commercial companies, speakers, panelists, who together meet all the conditions of participation referred to in the further provisions of the Regulations (hereinafter referred to as:”participants”).
4. The provisions of the Regulations form an integral part of the application for participation in the Events and apply to all Participants.
5. Submitting the registration form and participating in the Events implies acceptance of the provisions of the Regulations and the obligation to comply with them. The content of the Regulations is available at the Event venue and on the ZDG TOR website — https://www.tor-konferencje.pl/ in the Regulations tab.
6. Before taking part in the Event, the Participant is obliged to familiarize himself with
with the Regulations.
§ 1 Registration for the Event
1. Events are divided into paid and free events, with free events marked as free on the Events page.
2. The application for participation in the Event, paid or free of charge, is made by filling in the appropriate registration form available on the website: https://www.tor-konferencje.pl/ in the offer tab and consent to the sending of commercial information by the Organizer and Partners of training via electronic means of communication and acceptance of the provisions of the Regulations by ticking the appropriate boxes on the page intended for registration.
3. Upon successful completion of registration for the Event, the Participant receives from the Organizer to the e-mail address provided at registration confirmation of registration. In the absence of information confirming registration within 48 hours from the moment of sending the registration form, please contact the Organizer at the following e-mail address: zgloszenia@tor-konferencje.pl.
4. By registering for a paid Event, the Participant agrees to pay the participation fee in the amount specified in the tab of the given Event.
5. The participation fee applies to the participation of one person in the Event, unless other offer information is provided in the registration form.
6. The Participant undertakes to pay the fee for participation in the Event payable after sending by the Organizer to the e-mail address indicated at registration the pro-forma invoice. The fee for participation in the Paid Event can also be paid via a payment card by clicking on the link sent to the e-mail address indicated at registration, and then selecting the “Pay with payment card from payeezy” field. The fee for participation in the Event may be paid by the entity submitting the Participant's participation.
7. In case of registration for an Event, the deadline of which is less than 7 days left, the payment must be made immediately — at the latest by the end of the day on which the registration was made.
8. The fee for participation in the paid Event, when choosing payment on the basis of a pro-forma invoice, must be paid to the Organizer's bank account indicated on the aforementioned invoice. In the title of the transfer, the name of the event and the names and surnames of the registered Participants and the number of the pro-forma invoice must be indicated.
9. Registration of the Participant to participate in the Event creates the obligation to pay for participation in the aforementioned Event. The Participant's failure to participate in the Event does not relieve the Participant or the submitting entity from the obligation to make payment. The detailed rules for withdrawing from participation in the Event and settlements in this regard are regulated in § 3 of the Regulations.
10. Exemption of the Participant from the fee for participation in the Paid Event takes place only on the basis of individual arrangements of the Organizer with the Participant, or possibly an invitation addressed by the Organizer to the Participant.
11. The granting of accreditation constitutes at the same time a confirmation of registration and is sent by the Organizer to the e-mail address of the Participant specified in the registration form.
§ 2 Rules of participation in the Event
1. Participation in Free Events includes: admission to the Event, access to conference materials, coffee breaks, unless the registration form contains other provisions in this regard.
2. Participation in paid Events includes: admission to the Event, access to conference materials, coffee breaks and lunch, unless the registration form contains other provisions in this regard.
3. The Organizer, after the Participant's prior consent to telephone or e-mail contact, may send to the Participant's e-mail address or telephone number a notification about the upcoming Event and its subsequent editions.
4. Participant participating in the Event is obliged to maintain a high personal culture, including not to make statements that could violate the dignity and personal interests of the Organizer and other Participants. The Participant's behavior may not violate the provisions of the Terms and Conditions.
5. The Participant is fully responsible for all statements and presentations made by the Participant during the Event. The participant undertakes to comply with the copyrights of property and personal rights of third parties.
6. The Participant bears full responsibility for the destruction caused by him on the premises where the Event takes place.
7. The Participant is fully responsible for all materials and information presented by him at the Event, including but not limited to name/logo, advertisements, inserts, banners, stands, roll-ups, presentations, advertising materials.
8. The Participant undertakes to comply with safety rules, including fire, as well as instructions and organizational and technical instructions of the Organizer.
9. The Organizer reserves the right to refuse to participate in the Event by a given Participant without giving any reason.
10. The Organizer has the right to make changes to the Event program at any stage of implementation. The current plan of the Event will be posted on the Event website, the link to which can be found on the Organizer's website: https://www.tor-konferencje.pl/ in the Event tab.
11. The Organizer is not responsible for changes in the schedule of the Event, including in particular for the resulting delays in relation to the assumptions of the Event program.
12. The Organizer is not responsible for independent random factors that may affect the course or nature of the Event.
13. The Organizer does not guarantee the presence of persons mentioned in the program of the Event as invited persons, as well as other persons who have confirmed their presence.
14. The Organizer reserves the right to expel from the Event a Participant who violates the provisions of the Regulations.
§ 3 Resignation from participation in the Event
1. Cancellation of participation in the Event, whether paid or free of charge, requires a written form. Preservation of the written form is also understood as sending from the e-mail address from which the application was made to the e-mail address of the Organizer, i.e. konferencje@tor-konferencje.pl messages informing about the cancellation of a given Participant.
2. The Participant may cancel his participation in the Paid Event free of charge no later than 7 working days before the scheduled date of the Paid Event. Cancellation without meeting the above deadline will result in the Participant being charged a fee: within 7 days to 4 days before the event in the amount of 20% in the fees for participation in the Event specified in the tab of the respective Event, within 3 days from the event in the amount of 50% in the fees for participation in the Event specified in the tab of the given Event. In case of cancellation of participation in the Event the day before or on the day of the Event, the Participant bears 100% of the fee for participation in the Event.
3. The Organizer shall refund to the Participant the amount of the fee paid by him for participation in the Event payable within 14 working days counted from the date of submission by the Participant of the resignation, if it was submitted within the time limit specified in § 3 paragraph 2 of the Regulations.
4. Failure by the Participant to resign from participation in the Event and his simultaneous absence does not cause the Organizer to incur an obligation to refund the fee for participation in the paid Event.
5. The Organizer reserves the right to cancel the Event at any time without giving any reason. In case of cancellation of the Event Organizer on the website: www.tor-konferencje.pl publish information in this regard and send it to the e-mail addresses of the participants provided in the registration process.
6. In case of cancellation of a paid Event, the Organizer shall, within 14 working days counted from the date of notification of the cancellation of the Event, refund to the Participants who paid the fee for participation in the Event, the amount paid for participation in the Event. The method of reimbursement of funds paid by the Participant for participation in the Event depends on the payment method chosen by the Participant when registering for the Event. Refunds can be made: by transfer to the bank account from which the fee was paid or to the card from which the payment was made.
§ 4 Consent to perpetuate and disseminate the image
1. Registration of participation in the Event is tantamount to the Participant expressing consent for the Organizer to make recordings and photographs with the participation of the Participants.
2. The Participant declares that he agrees to the use and dissemination of his image by the Organizer for advertising, promotional, marketing purposes related to the Organizer's activities.
3. This agreement is not limited in time or territory and covers all forms of publication, in particular advertising posters, leaflets, printed promotional materials, television spots, advertising in newspapers and magazines and on the Internet.
4. The Participant hereby waives all (existing and future) claims, including claims for compensation for the use of his or her image to the extent specified in § 4 (2) of the Terms and Conditions.
§ 5 GDPR Information Clause
1. With regard to the implementation of the requirements set out in Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and repealing Directive 95/46/EC (General Data Protection Regulation)[1] (hereinafter referred to as: “GDPR”) The Organizer, as administrator of the personal data of the Participants, informs about the rules and the rights of the Participants related to the processing of their personal data.
2. The administrator of the personal data provided by the Participants is the Organizer, i.e. the TOR Business Advisory Team, a limited liability company with its registered office in Warsaw, entered in the register of entrepreneurs of the National Court Register maintained by the District Court for the city of Warsaw in Warsaw, XII Commercial Division of the National Court Register, under KRS number: 0000133090.
3. Participants may contact the Inspector of Personal Data Protection (hereinafter referred to as: “DPO”) by post — address: Zespół Doradców Gospodarczy TOR Sp. Z o.o., ul. Sielecka 35, 00-738 Warsaw, or via e-mail — the e-mail address katarzyna.lubianka@tor-wydawnictwo.pl.
4. Only matters concerning the processing of data by the Controller, including the exercise of the rights of data subjects arising from the GDPR, should be referred to the DPO.
5. Personal data of Event Participants in the scope of: e-mail address, name and surname, name and address of the institution represented, possibly telephone number, if provided, image, image and sound recording — will be processed on the basis of Article 6 (1) (a), (b, f) of the GDPR.
6. Within the framework of the consent granted by the Participants to disseminate the image, the Organizer may transfer this consent to entities cooperating with the Organizer in the field of organization of Events in which the Participants participated.
7. The Organizer is entitled to transfer the Participants' personal data to TOR Media limited liability company with its registered office in Warsaw, pursuant to Article 6 (1) (f) of the GDPR and to the Event Partners specified on the Event website.
8. Personal data are obtained directly from the person to whom the data relate or result from the registration form.
9. In connection with the processing of personal data for the purposes specified in § 5 paragraph 5 of the Regulations, personal data will be processed by:
a) the Administrator, including its employees and entities cooperating with the Administrator in the field of organization of Events;
b) an unspecified audience in connection with the image fixed in photographs and the image and voice recorded in the videos or recordings of the Events, as well as the provision thereof without territorial and temporal limitations through reproduction and public display, reproduction, reproduction, public sharing, including on the Internet.
10. The image captured in photographs and the image and voice recorded in the videos or recordings of the Events, for the purpose of documenting the course of the Events, including use in promotional materials and publications in the media, as well as other promotional materials of the Organizer and entities cooperating with it, will be stored without time limits.
11. Participants' identification data will be stored in the registration system for the period necessary to achieve the purposes resulting from the legitimate interests pursued by the Administrator.
12. Participants have the right to:
a) access to personal data, including the right to obtain a copy of that data;
b) to rectify (correct) personal data;
c) to delete personal data;
d) to limit the processing of personal data;
e) to object to the processing of personal data, pursuant to Article 6 (1) (a), (b), (f) GDPR;
f) to lodge a complaint with the President of the Office for Personal Data Protection, if the processing of personal data violates the provisions of the GDPR.
13. The provision of personal data is voluntary and necessary to achieve the purposes set out in Article 6 (1) (a), (b), (f) GDPR.
14. The consequence of not providing identifiable personal data will be the inability to participate in the Events organized by the Organizer.
15. The participant has the right to withdraw his consent to the collection and processing of his personal data at any time. Withdrawal of consent does not affect the lawfulness of the processing carried out on the basis of consent before its withdrawal.
16. The withdrawal of consent is made by sending to the e-mail address katarzyna.lubianka@tor-wydawnictwo.pl information on the withdrawal of consent to the collection and processing of personal data. In the title it is necessary to indicate “Withdrawal of consent”.
17. Participants' personal data will not be profiled or subject to automated decision-making.
§ 6 Final provisions
1. In matters not regulated by the Regulations, the provisions of generally applicable law shall apply.
2. The amendment of the provisions of the Regulations requires a written form under penalty of invalidity.
3. In case of invalidity of any of the provisions of the Regulations, the remaining provisions shall not lose their force and effect.
